Description:
• Coordinate a high volume of virtual and on-site interview schedules to support the recruitment team and business needs.
• Adhere to Talent Acquisition Coordinator Team expectations and guidelines for interview scheduling timelines.
• Provide timely correspondence to internal and external candidates advising on interview status.
• Provide candidates with a high touch customer service experience, ensuring accurate representation.
• Manage clear communication with recruiters, hiring managers and interview teams throughout the interview process. Engage recruiter when obstacles occur in scheduling process.
• Partner with administrative assistants within all levels of the organization, including VP and C-Suite, for scheduling support.
• Oversee coordination of on-site interviews, including partnering with client’s travel vendor to arrange domestic travel and accommodations, and managing the candidate reimbursement process.
• Guarantee interview schedules and receipts are accurately captured to ensure compliance to federal mandates.
• Ensure schedule accuracy and confirm finalized interview details with the interview team and candidate two days prior to interview date.
• Manage requisition and candidate workflow in the applicant tracking system.
• For high level candidates, personally escort them through their interview day to maximize the opportunity to provide a world-class candidate experience.
• Attend weekly team meetings and share current scheduling volume. Assist colleagues when appropriate to ensure work is evenly distributed among the coordinator group.
• Self-motivated in problem solving and taking initiative to find solutions for day-to-day obstacles.
• Prioritize relationship management with colleagues, recruiters, hiring managers and HR stakeholders.
• Ownership of workload and nuances within assigned business function.
• Constantly increase knowledge base and contribute to process improvement.
• Participate in quarterly team meetings/presentations, while engaging members on relevant industry topics.
Qualifications
• Minimum of an Associate Degree required. Degree in Human Resources is preferred.
• Minimum of 2 years of previous experience in staffing coordination or in an HR environment.
• Excellent communication skills (verbal and written) are required to interact extensively with personnel at all levels within the company.
• Excellent organizational and customer service skills, including email/phone etiquette, attention to detail, follow-up, and can-do attitude.
• Effectively handles multiple tasks and ability to prioritize workload.
• Strong MS Office experience, especially Outlook, Word, Excel, and PowerPoint.
