Job Description


College graduate with 1-3 years of admissions experience…ideally working with undergraduate students. Candidate must be very responsible (only person in this role with the system access so counting on this person); needs strong reading comprehension skills as a bulk of the work is reading applications and making a determination of entry; must have strong attention to detail as some of the steps are manual and need to mitigate mistakes due to the stakes involved; needs stellar verbal communication w/nice presence and demeanor as the candidate will be involved in webinars and recruiting events to speak to the application process…they also collaborate with Deans and other university stakeholders.

Program Recruitment Management
• Manage the recruitment process for all summer and high school programs.
• Manage admissions and enrolment process for visiting non-degree program.
• Manage the workflow for the admissions cycle for all summer, high school, and visiting non-degree programs.
• Meet quantitative goals on metrics including ratios of inquiries to completed applications, started applications to completed applications, timeliness of response to email, number of applications processed, and more.
• Provide a high level of customer service and customer satisfaction.
• Proactively seek out and counsel prospective applicants.
• Build relationships with industry firms and organizations to provide information about SCS programs.
• Communicate by email, phone, and in-person to all applicants with incomplete applications; with the goal of assisting students as they navigate the admissions process and facilitating completion and submission of applications.
• Learn continuously about SCS programs to provide accurate information to inquiries through phone, email, walk-ins, or open houses.
• Present at information sessions, open houses, recruitment fairs, and conferences.
• Respond in a timely manner to inquiries to provide detailed and accurate information about SCS program offerings and the application process.
• Facilitate timely admission decisions by programs and communicate decisions to applicants.
• Advise the Director of Admissions and Executive Director of Enrolment Management on trends and data regarding inquiries and applicants.
• Award scholarships to qualified applicants.

Information Collection, Documentation, and Technology
• Create and maintain applicant files, communication records, and checklists, ensuring that the university remain in compliance with federal regulations and internal policies, such as the Document Retention Policy.
• Record inquiry data in appropriate systems.
• Communicate with summer and high school teams to keep them apprised of the status of applications.
• Manage data entry of application information into the appropriate systems and maintain the accuracy of databases used for prospects, admissions, and student records.
• Responsible for the preparation and presentation of prospect reports to the Director of Admissions and Executive Director of Enrolment Management.
• Perform at a high level of written and verbal communication.
• Ensure all internal academic and admission standards are being met.
• Mastery of technology systems such as: Salesforce/TargetX.
• Know how to run systems feeds and other technological needs associated with Office of Admissions and processing.

• Compiles reports of weekly admissions data for all summer and high school programs.
• Assist in managing website content for Admissions.
• Provide feedback on ways to improve the processing side of Admissions and ways to use systems and processes more effectively.

• Bachelor’s degree
• 1+ years of progressive experience in an organizational setting
• Strong knowledge CRM and application systems
• Proficient in Microsoft Office and comfortable with database maintenance
• Detail-oriented team player
• Ability to provide high levels of service
• Outstanding interpersonal and communication skills and a strong customer service orientation
