Job Description

General administrative support:
• Acts as comprehensive resource for visitors and callers, corresponds with prospective students, staff and faculty, answers phones, sorts mail, helps with maintenance of office equipment, faxing and mailing for all faculty and staff.
• Coordinates receipt and delivery of teaching and research supplies.
• Maintains supplies for all copiers in regents Hall for all 3 main campus science departments. Creates PO’s for various vendors and submits invoices for payment.
• Works closely with work study students.
• Responsible for ordering all supplies for the department.

E-Mail Communication
• Responsible for maintaining and updating email addresses for Faculty, Post-Docs, Graduate Students, Staff, and Undergraduate Biology Majors and, from the College, all undergraduates considered pre-Med (Vet, Dent.) so that the department can communicate efficiently with each or all groups. (If Needed)
• Create and update semester calendars. Maintain Graduate student databases in Banner and Cognos. (If Needed)

Office Management
• Office management. Business Operations for Biology Department Office.
• Works with other professional staff members to ensure equipment, supplies and environment are operating appropriately.

Website maintenance and Social Media Coordination
• Maintains department web-site.
• Posts news and announcements on department website. Coordinates with College and University communications offices.
• Maintains individual faculty websites on multiple platforms weekly. Responsible for daily posts and oversight of Social Media sites (Facebook, Instagram, Twitter and LinkedIn) Tapes/Records, edits and uploads videos/pictures of faculty, guest speakers and students weekly.

Events Coordination
• Coordination of department activities including weekly internal and external seminars. Makes travel arrangements for incoming speakers and recruitment, and for faculty and students attending conferences.
• Helps plan and arrange social events. Assists department administrative office to coordinate academic and research programs.
• Responsible for all catering of various departmental seminars and activities.

Office Technology support
• Serves as department technology representative.
• Responsible for learning new software introduced into the department or university and serving as a source of information for other members of the department as they learn such systems.
• Oversees department computers and manages computer replacement. Manages department phone systems and coordination with UIS.
• Responsible for all IT related purchases via GMS.
• The printers, computer ordering, reimbursements and expense reports, the website, the nuts and bolts of the seminar program.

Requirements and Qualifications
• Bachelor’s Degree
